Final Submission Description


Presentation Video Submission Procedure

The presentation video should be uploaded through PaperPlaza. Please see the following procedure:

1. The video presentation is required for online presented papers and strongly recommended for in-person presentations as well. If no video presentation is uploaded and there is no in-person presentation, the authors will risk the no-show and the paper will not be included in IEEE Xplore.

2. Please use the following guidelines to prepare your video presentation:

  • Duration: 15 min
  • File size limit: 100 MB
  • File format: MP4
  • Minimum height: 480 pixels
  • Aspect ratio: 16:9

3. You are also kindly required to submit a release form with your video (signed copy in PDF or JPG), as it is not covered by the original copyright transfer.

4. The corresponding author should go to his/her Paperplaza to upload (or re-upload) both the video and the signed release form until the deadline July 20, 2022.

5. While we are unable to provide individualized technical support to help you create your video, Zoom is a possible approach to record your presentation. The free plan of Zoom lets you record a compatible video from content displayed on your computer screen and voice recorded via the computer microphone (how to record a Zoom meeting).

6. Please note the above specifications will be checked at the time of submission and files not meeting them will be prevented from being uploaded.

7. Except for the above duration and digital constraints, the form of the presentation is left free (though please be sure the video includes the number and title of the paper, the authors, and a reference to CASE 2022, so that it is easy for the session organizers to identify the video).

8. Please start early: given that the resulting video files will be very large, they might need a long time to transfer.

Recording with Zoom:

1. Make a free Zoom account on the website: https://zoom.us/. Or sign in if you already have an account.

2. Start a Zoom meeting: 'HOST A MEETING' with video on. Use Zoom Client by 'Download and run Zoom'. Join with computer audio.

3. Open your powerpoint in the presentation view.

4. Start the recording: You find this under the 'MORE' button. (If you are asked, choose: Recording to this computer.)

5. You can switch between video and powerpoint with the 'SHARE SCREEN' button.

6. When finished you stop the recording via the 'STOP RECORDING' button.

7. Then choose 'END' and 'end the meeting for all'. Your recording will be converted automatically and the screen will show where the file will be saved.

Paper Submission Procedure


The submission is now open through PaperPlaza. Please see the following submission procedure:

1. Prepare your final paper using the LaTeX or Microsoft Word templates. Make sure to have the latest templates and do not change the formatting in any way.

2. Check that the names of all authors and their order is identical in the PaperPlaza submission system and the paper. Please write author names with only the first letter capitalized, that is, use "Firstname Lastname" in all instances and do not use "FIRSTNAME LASTNAME" anywhere.

3. Create a PDF version of your paper and perform the IEEE PDF compliance test. If your paper does not pass the test, you cannot continue and may read the PDF Test Help to revise the format of your paper until it passes the test.

4. Prepare a video clip of your presentation if you register as Online participant and will not present your paper in real time.

5. Update the final submission information (title, author list, number of pages, abstract, copyright) in PaperPlaza. To process the copyright transfer for each contribution, follow the "Copyright Transfer" link, and you will be taken to the IEEE copyright transfer site (IEEE eCP) in a new window. Follow the steps as described on IEEE eCP pages and make sure that the paper title and author list are correct before you perform the copyright transfer.

6. Register for the conference, indicating the paper number and any extra pages, through the registration site.

7. Upload the PDF final paper that has passed the IEEE Xplore compliance test.

8. Upload video clip, Best Student Paper nominations, RAS Student Travel Grant (if this is your case).

Paper Length

A manuscript should be of 6 pages, with 2 additional pages allowed but at an extra charge of US$200/page. Please update the page length information of your final manuscript contributions in PaperPlaza to ensure that the correct extra page fee appears during your registration process.
